Leadership Gifts Coordinator

## Position Summary
The Leadership Gifts Coordinator provides operational and administrative support to the Senior Director of Leadership Gifts and the leadership gift officers. Responsibilities include assisting with prospect management, including tracking and documenting all contact with donors and prospective donors. Aid in planning for gift officer travel, prepare briefings, support proposal creation, generate and analyze reports for the biannual metrics review, and support prospect moves management all in collaboration with the director. Manage schedules, work flow, and appointments for the Sr. Director, officers and volunteers as well as on campus partners. Serve as contact person, and facilitator between the Leadership Gift Office and other offices across campus as well as alumni, parents and Trustees, senior administrators and other professional staff.

* Works cooperatively with others and accepts direction from supervisor.
* Makes travel arrangements for Gift Officers: creates detailed trip itineraries, generates constituent profiles, and compiles data and materials for meetings with prospects.
* Maintain prospect management system in support of the Leadership Gifts program, including tracking prospect cultivation, solicitation and stewardship.
* Prepare prospect tracking reports for the leadership gifts team.
* Assist in preparation, formatting and completion of proposals and new fund agreements.
* Work with gift officers to prepare for Presidential, Trustee, or Senior Administrator meetings with their prospects.
* Maintain comprehensive documentation of donor and prospective donor contacts (e.g. letters, proposals, briefings, contacts and reports).
* Facilitates timely follow-up of contacts, including notes in Banner system and correspondence.
* Executes reports using Hyperion: builds custom queries, manipulates existing queries, and analyzes data with pivot reports.
* Manages complex Banner records related to staff and prospect assignments, prospect tracking, proposal tracking, and prospect strategies, etc.
* Manages the Leadership Gifts department budget process for requests through approvals.
* Reconciles receipts, expense reports and PNET.
* Supports campus partner and committee liaison roles.
## Knowledge, Skills and Abilities
* Advanced computer skills required in the following programs: Microsoft Office (Word, Excel), Outlook, Power Point, Hyperion and SCT Banner strongly preferred.
* Must have excellent writing, organizational, interpersonal, and communication skills.
* Must be able to prioritize essential tasks, have initiative, and good decision-making skills.
* Attention to detail and organized.
* Able and willing to manage multiple tasks and projects.
* Handles confidential matters with complete discretion.
## Experience
* 7 years of administrative support experience in a fast-paced office environment.
* Prior experience as an Executive Assistant or in a similar role is preferred.
